Creative Service Project Coordinator


Volketswil, CH

Contract Type:  Permanent - full-time

Refine and develop the processes regarding the internal workflow, priorities, agendas and deadlines for each member of the team, creating a Department Project track

The creation of this new role will allow the development and maintenance of effective workflows, and maximize system efficiencies


The role in details:


  • In charge of designing, monitoring the project planning/traffic and timely delivery of final materials for all the Team
  • Update project tracker with rounds of edits and timeline changes
  • Conducts weekly meetings of cross-functional teams and Senior Creative Service Manager to communicate and follow up on project requirements, plans and deadlines
  • Conducts production meetings - for print, video and digital deliveries within the Team and other Departments
  • Supports the team in collecting, shipping products/set design for shootings (and back)
  • Takes care of the product/set design storage for shootings in Zurich and Paris
  • Takes care of the update of the Creative server (new releases)
  • Day-to-day departmental duties:


  1. Routing and handling Creative Request and assign projects according to Creative Service manager confirmation
  2. Update project tracker with rounds of edits and timeline changes
  3. Handling timing for production and delivery of the assets
  4. Manage translations and cost approvals
  5. Handle delivery and recovery of products/set design from set to Zurich or to Paris
  • Manage and organize weekly status meetings :
  1. Daily status update with the Senior Creative Service Manager for update on the project planning/deliveries
  2. Weekly status meetings with the Creative Team (1:1) for updates on the progress
  3. Monthly progress with Creative Team and Creative Director for updates and agenda
  4. Monthly meetings with Brand Managers (1:1) for update on the status of works based on the MKT asset list

Qualification Requirement

  • 4 to 5 years of experience in Project Management in the communication/advertising field (preferably in Luxury industry)
  • Diplomatic and punctual person with great organizational skills and with a high sense of delivery
  • Ability to manage multiple projects with cross-functional teams in a multicultural environment
  • Well structured, good analytical skills and problem solving
  • Great team player
  • Fluent in English, spoken and in writing
